AI security, for most Toronto firms, is not a new firewall. It is the question of where company data goes when people paste it into a chat tool, and how you notice. Group 4 Networks treats that as an access and data problem. The office is 18 King Street East. The work sits next to the rest of your security, not in a separate slogan.

Shadow AI is already in a lot of offices. A staff member uses a personal account because it answered faster than the approved one. A client contract ends up in that account. You cannot unwind that with a poster. You can offer an approved tool inside the tenant, block the obvious consumer sites at the firewall if that matches how strict you need to be, and tell people what they are allowed to paste. We help you write that rule in one page, and we help you enforce the technical half.

The approved tool still needs limits. It should not be available to every guest account. Logs of prompts may themselves be sensitive, so access to those logs is narrow. If you connect the tool to mail or files, the connection uses an account with a small scope, and someone owns that account when the project lead leaves. We list it with the other service accounts.

Detection still matters. Endpoint protection and mail filtering do not understand a prompt, but they do understand a laptop that starts encrypting files or a mailbox rule that appears overnight. Those controls stay in place. AI does not retire them. An active incident still uses the 15 minute P1 response target, which means we start within that window, including after hours.

What we will not sell you is a score. We will not say you are 90 percent safe because a product said so. We will say which chat tools are approved, which connections exist, and who can read the logs. Call (416) 623-9677 if you want that list built from what the tenant shows today. Group 4 Networks has worked with GTA firms since 2008.

A reasonable first month is an inventory. Ask each team lead which tools they already pay for. Check the tenant for connected apps. Decide what is allowed to see mail. Everything else is a cleanup. The inventory is dull and it is the job.

Look at the inventory again after a quarter. Teams start pilots quietly, and a one time survey is stale the month someone adds a new login. The review is a calendar item, not a new project. Put the date of the last review on the same page as the approved tools.
